Why Sequence Matters: Optimizing Your Business Operations
Jul 05, 2024In the world of business operations, we often focus on creating task lists and standard operating procedures.
However, one crucial element that's frequently overlooked is the sequence in which we tackle these tasks.
I want to share why sequence matters and how it can dramatically improve your business efficiency.
If you want the full version of this, check out my video to learn more!
The Problem with Unstructured Task Lists:
- Creates operational drag
- Increases costs
- Confuses team members
- Leads to burnout and frustration
- Hinders momentum and habit formation
The Dinner Analogy:
Let me share a recent personal experience that perfectly illustrates this point.
The other night, I was in charge of making dinner - burgers, crinkle-cut fries, and Brussels sprout salad.
Despite having made this meal countless times, I made a crucial sequencing error:
- I started with the Brussels sprout salad (my favorite part)
- Forgot to put the fries in the oven first
- Result: Dinner was 30 minutes late, causing a domino effect on our entire evening routine
This same scenario plays out in businesses every day.
We have the components, the "recipes" for each task, but we often lack the optimal sequence for executing them.
The Importance of Workflow in Business:
Just as in cooking, the sequence matters in every operational function of your business:
- Service providers: Quality check before delivery
- Software development: Proper coding sequence
- Client services: Coordinated steps for consistent experiences
How to Implement Proper Sequencing:
- Define Clear Outcomes:
• Clearly state what you expect as the end result • Example: Hot burgers, hot fries, cold salad - Provide Detailed "Recipes":
• Create standard operating procedures (SOPs) for each component • Ensure team members understand each task thoroughly - Establish the Optimal Sequence:
• Determine the best order for tackling tasks • Consider how to manage multiple "open loops" efficiently - Test and Refine:
• Implement the sequence
• Run through it 5-7 times before making significant changes
• Use real-world action to inform improvements
Benefits of Proper Sequencing:
- Increased efficiency
- Reduced operational drag
- Improved team morale
- Consistent client/customer experiences
- Potential significant impact on your bottom line
By focusing on the proper sequence of tasks, not just their individual components, you can elevate your business operations to the top 10% of performers in your industry.
This approach leads to consistency, scalability, and exceptional results for your clients and customers.
Remember, defining and adhering to the right sequence is just as important as having detailed SOPs.
It's the key to managing workflows effectively, especially when one person handles multiple components of a process.
